Formal Complaints Procedure

We want every Bizvee customer to feel heard. If something goes wrong with your company formation, accounting, tax filing, mail or compliance service, this page explains exactly how to tell us, what we will do, and how long it will take.

01What counts as a complaint

A complaint is any expression of dissatisfaction about the service, advice, communication or outcome you received from Bizvee or a partner in our network. It does not have to be in a special format — an email, support ticket or call note is enough, as long as it tells us what happened and what you would like us to put right.

Examples include: a filing submitted with incorrect information, a missed deadline we caused, a charge you do not recognise, a partner engagement that did not meet the agreed scope, or repeated difficulty reaching our support team.

02How to make a complaint

You can complain through any of the channels below. Please include your order number, the service involved and a short description of the issue. The more detail you give us, the faster we can investigate.

  • Email: info@bizvee.com with the subject line 'Formal Complaint'.
  • Support ticket: open a ticket from your Bizvee dashboard and mark it as a complaint.
  • Live chat or phone: ask the agent to log your concern as a formal complaint.
  • Post: Bizvee LLC, Attn: Complaints Team, Ohio, United States.

03Who can complain

We accept complaints from current and former customers, authorised representatives, and in some cases beneficial owners of companies we have helped form or maintain. If you are raising a complaint on behalf of someone else, we may ask for written authorisation before sharing personal or company details.

04What happens after you complain

Every formal complaint is logged in our support system with a unique reference number. You will receive an acknowledgment within one business day confirming that we have received it and telling you who is handling it.

We then look into the facts: we review your order history, messages, filings and any partner records, and we may contact you for additional documents or clarification. Once we understand what happened, we decide on a fair outcome.

05Response timeframes

We aim to resolve most complaints quickly. Our standard timeframes are:

  • Acknowledgment: within 1 business day of receipt.
  • Initial response: within 5 business days, either with a resolution or an update explaining the investigation.
  • Final response: within 15 business days for straightforward cases, and within 30 business days for complex cases that involve third-party registries, banks or partner professionals.

06Possible outcomes

If we find that we made a mistake, we will put it right. Depending on the situation, that could mean:

  • Correcting and re-filing documents at our expense.
  • Issuing a refund or partial credit for the affected service fee.
  • Re-issuing prints, scans or certificates that were lost or damaged.
  • Adjusting a partner engagement or reassigning the work.
  • Updating our processes or training to prevent the same issue happening again.

07Escalation

If you are not satisfied with our final response, you can ask for the complaint to be escalated to a senior manager. The manager will review the file independently and respond within 10 business days.

For customers in the United Kingdom, you also have the right to refer the matter to the Alternative Dispute Resolution (ADR) provider relevant to your service. For customers in the European Union, the Online Dispute Resolution platform may be available. We will provide details of the appropriate body on request.

For US, Canadian and Australian customers, unresolved disputes may be addressed through the governing law and dispute-resolution process described in our Terms of Service.

08Record keeping

We keep a complete record of every complaint for at least three years. That record includes the original complaint, our investigation notes, the final response and any follow-up. This helps us spot patterns, train staff and demonstrate fairness if a complaint is reviewed by an external body.

09Accessibility

If you need this procedure in another format, or if you need extra support to make a complaint, please tell us. We will make reasonable adjustments so that everyone can use our complaints process.
